A standard operating procedure, sometimes referred to as SOP, describes in detail the activities necessary to complete a task or procedure within a business operation. Standard operating procedures are created to manage the performance of tasks or processes by describing exactly how they should be completed.

Overview
Standard operating procedures are designed to maximize standardization, quality control, and efficiency. Standardization means that a task is performed the same way each time. This is convenient for some businesses but critical for others. For example, some businesses are required to follow industry regulations or federal or state guidelines. For these businesses, such as pharmaceutical manufacturers, standardization through standard operating procedures ensures that each step in a complex process is completed in conformity with the applicable guidelines.
Standard operating procedures also ensure quality control or the idea that a task or product is produced or completed in a consistent, reliable way that is free of errors. Quality control helps protect employers from liability resulting from poor production processes, such as when an item is poorly manufactured and fails to work as designed. Quality control also protects employees by forcing them to complete tasks in the way that has been deemed safest for them.
Efficiency means that standard operating procedures promote maximum profitability. Efficient processes are those that include only the necessary steps in their designs. They have been carefully designed to use the least resources while obtaining the maximum value. For example, in production line manufacturing, standard operating procedures outline how employees are to work with items during production; some standard operating procedures are so detailed that they outline the exact number of motions employees should make to complete a particular step. Other industries that have benefitted from having standard operating procedures are healthcare, through patient intake and medication administration; software development; and retail and ecommerce, through standard operating procedures that manage inventory and handle returns. Standard operating procedures are especially beneficial in industries that are heavily regulated and benefit from risk mitigation.
Employer Use
Standard operating procedures apply to every type of employer. For example, a business that offers computer services might standardize the approach its technicians take to troubleshoot each computer. A law firm might create standard operating procedures for client intake to ensure that no conflicts of interest exist while maintaining the privacy of its clientele.
Additionally, businesses can use standard operating procedures in several ways. For example, SOPs are excellent training devices, as they help new staff quickly get up to speed on tasks. They offer excellent checklists for managers to determine if employees are completing their job tasks promptly and accurately. They can also be used to quickly cross-train employees from other areas of the business, which is useful when an employer needs to move resources from one department to another. This helps to make an employer more flexible because employees can be more easily trained in multiple skill areas.
Standard operating procedures are produced through careful observation, review, and documentation. Committees of employees working together can create standard operating procedures and ensure that all aspects of a task or process are included.
